Central Events Coordinator (40 hours per week)

40 hours per week

Has responsibility for processing all incoming business in relation to meetings and events for Iconic Luxury Hotels including Chewton Glen, Cliveden House, Lygon Arms & 11 Cadogan Gardens. To ensure customer service levels and smooth delivery of products and services for the clients on all events. The objective of this role is to maximise all bookings and ensure follow through from sales & events handover to end of booking/event, plus follow up.


• To have full product knowledge of all Iconic Luxury Hotels in order to be able to sell both properties confidently
• To be responsible for events at Iconic Luxury Hotels
• To ensure all enquiries taken are responded to on the day they are received
• To issue revised contracts for all events, conferences, banquets, room bookings as required for both properties
• To raise and issue accurate billing, checking with client on and prior to departure of satisfaction
• To track and monitor responses to specific marketing activity
• To liaise with kitchen, food & beverage departments at all Iconic Luxury Hotels on daily operations and to ensure quality control
• To assist in wedding enquiries and bookings as required
• To work closely with the Events team at Cliveden, Lygon Arms & 11 Cadogan Gardens to ensure the smooth running of events
• To be involved in the weekly call with Cliveden Lygon & 11 Cadogan Gardens to ensure smooth running of events
• To liaise with Cliveden, Lygon Arms & 11 Cadogan Gardens team on a daily and weekly basis to ensure the smooth running of all events
• To assist co-ordination of finalising contracts as required for all events for both properties
• To prepare & issue weekly function sheets, ensuring all details are accurate and up to date for both properties
• To ensure accurate capture of all data for prospective customers and customers alike
• To prepare and present weekly BEO function sheets, specifically checking all details for both properties
• To manage all past, current and future ‘folio’s’ and ensure billing is processed accurately and promptly
• To attend events at Cliveden, Lygon Arms & 11 Cadogan Gardens if necessary and assist in the operation
• To minimise any external cost and to maintain expenses within agreed budget lines
• To provide accurate reports on weekly activity undertaken and activity for the future
• To assist production of monthly review on sales results
• To ensure the Opera is kept up to date and all enquiries are logged for both properties
• To ensure that duplicate profiles are not created and guest profiles up to date
• To work with the Director of Events, Events Manager, DOS (MICE) to maximise revenue in all areas of the business
• To utilise preferred suppliers list as agreed
• To deliver each event that surpasses the expectation of the client
• To be full aware of the Hotel’s fire safety procedures and Health & Safety regulations.
